The questions we get most from directors and operations leads considering WERQ Hub.
What happens after my 90-day free trial?
About two weeks before the trial ends, we’ll email you a reminder with your two paths: add payment to continue at your tier, or apply for a community scholarship if cost is a barrier.
If you don’t take action by the end of the trial, your workspace moves to read-only for 30 days — you can still see everything, but you can’t add new cases or send referrals. After that grace window, the workspace is suspended (data preserved, access requires reactivation). Nothing gets deleted without warning.
Can we export our data if we leave?
Yes. Email doug@werqhub.org and we’ll deliver a full export of your cases, peer data, referral logs, and any custom protocols within 5 business days. The data is yours.
How does the community scholarship work?
If your org needs WERQ Hub but the budget isn’t there, the scholarship covers your seats fully for one year, renewable. We’re funded by sponsoring orgs that pay $100/month specifically so smaller orgs can join the network.
Apply at /contact/sponsored-access. We aim to respond within one week. Most applications are accepted; we’re not gatekeeping access to community work.
What if a teammate leaves — does their account migrate?
Their cases and referral history stay in your workspace under your org. Their personal account is deactivated immediately when you remove them from Members. If their replacement is a new person, just invite them as a new member and reassign the relevant cases.
Can we move from monthly to annual billing?
Yes — email doug@werqhub.org and we’ll switch you over (annual is a 10% discount). For coalitions or 100+ staff orgs we use custom contracts; see /contact/enterprise.
Where is our data stored? Is it HIPAA-covered?
Postgres in a US-West region (Oregon), encrypted at rest. We don’t cross borders without telling you. We’re not HIPAA-covered and don’t sign BAAs at this stage — for clinical workflows that require HIPAA, keep the clinical record in a covered EHR and use WERQ Hub as the coordination layer. Can our team edit Journeys, or just WERQ?
Both. Anyone with content-editor permission in your org can create org-private Journeys for your own internal protocols. The shared library Journeys are reviewed and published by WERQ editorial — but anyone can suggest edits to a published Journey and we apply changes within about 2 weeks.
What makes this different from CaseWorthy / ETO / other case management tools?
WERQ Hub is two things general-purpose case management tools aren’t: community-built (every Journey comes from real navigators doing this work, not a vendor’s assumption about workflow) and knowledge-shared (your team gets the benefit of every other org’s learning without compromising peer privacy).
We’re not a replacement for your clinical EHR or your billing system. We’re the layer where the how-to-actually-help-this-person knowledge lives.
